Data Privacy Terms for Zuhlke Talent Relationship Management and Application Processing

General

Zuhlke Engineering Ltd, United Kingdom (hereinafter "Zuhlke") uses a web based tool (hereinafter "Wintrgarden") for Talent Relationship Management and Application Processing.

Wintrgarden enables people to create a talent profile and thereby becoming a “Talent of Zuhlke”. Zuhlke shares information about vacancies, potential job opportunities or content within the context of Zuhlke as an employer. Wintrgarden also enables people to create an applicant profile to facilitate communication during the application process.

For the purpose of processing applications and/or evaluating expressed interest in Zuhlke as an employer, Zuhlke collects, processes and uses any personal data, including personal data contained in any attachment (collectively referred to hereinafter as "data") provided by the applicant / “Talent of Zuhlke” or generated by Zuhlke staff during the application / evaluation process.

Your data will not be forwarded to third parties, including other Zuhlke companies.
However, when an applicant / “Talent of Zuhlke” creates a profile at another Zuhlke company (given that an active profile exists and the same e-mail address is used), the profile creation is facilitated by pre-population of formerly submitted data of general nature. Yet all data will need to be officially re-submitted.

Data

The following categories of data will generally be collected by Zuhlke:

  • Personal data, contact data, work experience, education, competencies, qualifications and job preference, your prior employment
  • Data you submit in CVs, letters and written materials
  • Data generated by recruiters and interviewers

Scope

By creating a talent or application profile, you provide Zuhlke with your personal data and state that you are interested in employment at Zuhlke. Your data may therefore be used to evaluate your fit to a current vacancy or to potential vacancies beyond the scope of your original application.

Your information will be shared within Zuhlke’s Human Resources Department and other business functions (e.g. hiring managers, line managers and other interviewers) in accordance with the section “use of data” to determine if your application suits either the vacancy you have applied for or potential vacancies in the future. Your application data will be complemented by additional information you provide to Zuhlke during the recruitment process (e.g. interviews, assessments, references). If your application is successful, your data will be used for personnel administration including the establishment of a personnel record. If your application will not result in a hire, your data will be deleted (see section data retention for further details).

Use of Data

After creation of your talent profile Zuhlke may use your personal data:

  • to contact you about vacancies and potential job opportunities at Zuhlke that may be of interest for you
  • to notify you about news, information and events at Zuhlke which may be of interest within the context of Zuhlke as an employer
  • for statistical purposes
  • At any time, you can stop being informed by using the “Opt-out” functionality or by deleting your profile.

After creation of your application profile Zuhlke may use your personal data:

  • to assess your suitability for employment for the vacancy for which you are applying
  • for statistical purposes

After upgrading your application profile into a talent profile Zuhlke keeps your data collected during the application process and may use your personal data:

  • to contact you about vacancies and potential job opportunities at Zuhlke that may be of interest for you
  • to notify you about news, information and events at Zuhlke which may be of interest within the context of Zuhlke as an employer
  • for statistical purposes
  • At any time, you can stop being informed by using the “Opt-out” functionality or by deleting your profile.

Transfer

Zuhlke is a company that operates internationally. We work with our software provider Wintrgarden, based in Sweden, and Hetzner GmbH, a third party hosting provider in Germany. By submitting your information, you consent to the transfer of your data to and the storage of your data in the aforementioned countries with data privacy legislation in accordance with the standards set forth by the European Union.

Zuhlke will take all reasonable steps to protect your personal data from loss or misuse and prevent unauthorized access. Where Zuhlke works with suppliers to provide services that may enable them to access your personal data we contractually obligate them to have similar security controls in place.

Access to data

All of your information may only be accessed and processed by Zuhlke employees involved in the administration of our talent pool or in the recruitment process of the applied vacancy, as well as by authorized third parties such as our provider.

At any time, you can

  • view, change or delete the data you stored in Wintrgarden
  • withdraw your consent to process your data by deleting your profile

Data retention

Your profile and all data stored with the profile will be permanently deleted after the retention period described below.

Talent profile

  • If your profile is active all data associated with your profile remains stored for up to 36 months since your last login before being permanently deleted. This period restarts with every login. Before deleting Zuhlke will inform you via your provided e-mail address
  • If you delete your profile and there was no application process related activity within the last 12 months, your profile and all associated data will be deleted immediately
  • If you delete your profile and there was any application process related activity within the last 12 months, your profile and all associated data will be deleted 12 months after the last application process related activity

Application profile

  • If you accept an offer of employment by Zuhlke all data associated with your profile becomes part of your personnel records and your profile will be deleted after 12 months
  • If you withdraw or Zuhlke rejects your application, we stop further notification (“Opt-out”) and your profile and all associated data will be deleted after 12 months. Zuhlke may ask you to become a “Talent of Zuhlke” by upgrading your application profile to a talent profile. If you upgrade your profile all data collected during the application process remains stored in your profile
  • If you delete your profile the profile and all associated data will be deleted 12 months after the last application process related activity

Data storage

Your data is protected against unauthorized access through encrypted transmission and storage, a role and authorization concept, a data backup concept and physical security measures for the servers.

Neither Zuhlke nor any of our third-party service providers accepts any liability whatsoever to talents and applicants as a result of transmission of their personal data (including any errors, delays or failure in transmission) via the Internet.
